DCAA Compliant ERP: Microsoft Dynamics SL

DCAA compliant ERPMany project-centric companies provide services that the federal government contracts on behalf of its many agencies. Pursuing a government contract can be lucrative for a business, but unless you’re prepared it can also present numerous headaches as you try to comply with regulations and prepare for audits. Even state level contracts are becoming more complex as states adopt federal guidelines.

  • One of the biggest requirements for doing work with the federal government is the need to satisfy the Defense Contract Audit Agency, or DCAA, which is responsible for performing all audits and for providing accounting and financial advisory services to the Department of Defense and many other federal agencies.
  • Government contractors are subject to Generally Accepted Accounting Principles (GAAP) and are not usually awarded contracts until they pass a pre-award accounting system survey.
  • Federal Acquisition Regulations (FAR) are a set of regulations that outline the requirements of contractors that sell to the government. These are rules on specifications, payments and conduct and actions regarding solicitation of bids and payment of invoices.
  • Depending upon the size of the contract, you may have to comply with different requirements under the Cost Accounting Standards and will need to submit a CAS Disclosure Statement that validates your accounting system.

Your accounting system only reflects your potential for compliance – equally important is how the system was implemented and the procedures you use every day. Accountnet, a Gold Certified Partner for Microsoft Dynamics SL, has the necessary expertise in government compliance, is familiar with FAR, DCAA, CAAP and CAS — and can help you navigate this alphabet soup of regulatory challenges when deploying an ERP system for your project-centric business. Project-Based Businesses Need Project-Centric ERP

microsoft-dynamics-sl-capabilitiesOne of the biggest stumbling blocks that project-based companies encounter when implementing an enterprise resource planning system (ERP) is that most accounting software isn’t built for project work, and most project management systems lack robust accounting tools, making it difficult to determine the profitability of projects. It’s not surprising that many companies can’t really tell you which of their projects were the most profitable off the top of their heads; to figure it out would take a tremendous amount of time and effort exporting and correlating data between disparate systems.

That’s because most ERP systems are designed to book revenue/costs against an accounting code, so costs and revenue may not be accurately allocated to individual projects and even if they are, information becomes siloed with no easy way to analyze or compare to other projects. What happens when you have expenses that touch more than one project and how do you handle overhead charges that need to be distributed over a group of projects? If these types transactions are recorded in general accounts or misallocated it will reduce the accuracy of any profitability reports.

ERP systems designed specifically for project-based companies, like Microsoft Dynamics SL, can help by allowing businesses to book revenue and allocate costs at the project level. The Project Allocator feature of Dynamics SL allows you to gain precise control over project finances by creating flexible, multi-tiered hierarchies to reflect labor rates and billing structures, You can automatically allocate charges and revenues, account for work-in-process, transfer or consolidate transactions and record accurate data for billing and posting to general ledger accounts.

Having these tools allows you to really understand your project profit margins and determine which are worth trying to duplicate. Conversely, project profitability reports can help you understand which types of projects are not worthwhile – or maybe you may want to avoid or that would need to be better evaluated in the future in terms of budget.

ERP Pros and Cons

change-aheadMany of the clients Accountnet works with are businesses who have outgrown Quickbooks and other business management systems and are looking at a more robust, ERP (Enterprise Resource Planning) solution.  In a nutshell, ERP systems integrate all of your company’s individual department functions into a single software application, which make it easier to track workflows across the entire enterprise. ERPs can reduce operational costs that come with the manual tracking and data clean-up/import/export using separate, stand-alone systems.

But there are a number of things to consider before jumping into ERP.  Here we outline some of the pros and cons of introducing an ERP system to your organization.

Pros of implementing an ERP System:

  1. The various modules of an ERP system (such as Finance/Accounts, Human Resource Management, Marketing/Sales, CRM and more) make it easier for order and inventory tracking, revenue/sales forecasting and all related activities to be managed from one, centralized system.  Employees – especially senior management – benefit from having complete visibility into all the important processes across all departments within an organization.
  2. Since a single ERP system can be used across departments to fulfill their individual functions, there is no longer a need to buy and maintain disparate software systems and try to make them work together — or have to rely on manual reporting processes — which saves both time and money. And because a single database is implemented on the backend to store all the ERP data, companies can consolidate storage and back-up of all enterprise data.
  3. Accountnet can help you extend your ERP systems to provide robust Business Intelligence functionalities that provide insights on your business processes and can help you identify potential areas of problems or where to make improvements.

Disadvantages of ERP (Enterprise Resource Planning) Systems:

  1. It’s very important to find the right ERP implementation partner to work with you through the entire process. Many companies are surprised to find that their new ERP system does not do everything they need it to do “out of the box.”  The right integrator can help ensure your new ERP solution is in-sync with all your important business processes.
  2. User adoption is perhaps the most important factor for a successful ERP implementation. Comprehensive user training and an easy-to use interface is critical.
  3. Evaluation prior to implementation of ERP system is critical. If this step is not done properly and experienced technical/business resources are not available while evaluating, ERP implementations can (and have) become a failure.

Value Added Resellers for ERP

With widespread adoption of ERP systems – both for the large enterprise and small to medium businesses – the need for business owners to ascertain the Total Cost of Ownership for any proposed ERP solution has become a priority issue. TCO for business systems needs to account for the cost of conversion, any required customizations, implementation and integration with other internal systems, training, support and maintenance; all on top of any licensing costs for the software itself.

Value Added Resellers for ERP | AccountantValue-added resellers, like Accountnet, are staffed by experienced consultants who understand the work being done by their clients’ organizations to provide informed, high-level engagement in ERP system selection across the enterprise. VARs have a “big picture” view of ERP implementations and can assess all the factors (including TCO) that management needs to consider before making a decision that will impact the company for years to come.

Once an ERP product is selected, VARs ensure that customizations made during the implementation process stay compatible with any future version of the software. Accountnet routinely holds demonstrations of Microsoft Dynamics GP & SL and provides answers to real-life questions that prospective clients have when reviewing ERP systems. We also provide training, an essential but under-emphasized success factor in many implementations.

Project-Based Business Have Special ERP Needs

microsoft-dynamics-sl-capabilitiesFor project-based businesses, the heart of any ERP system is the underlying accounting component. Design and architectural firms, construction companies, government contractors or business management consulting firms – these types of organizations need to track all the activities of their R&D staff, operational teams, marketing department, etc., for various client project or in-house administrative tasks. Most accounting software isn’t built specifically for project work, and most industry-specific solutions lack adequate accounting tools.

Ideally, an ERP solution allows you to view all the moving parts of your project-based company in context, so that you have a good snapshot of what’s going on at all times and the status of your current projects: budget vs. cost, staffing level – things you need to know to keep the project on track and on budget. Microsoft Dynamics SL bridges the gap with comprehensive project management functionality integrated with distribution, service, and robust accounting capabilities. It combines powerful project and financial management capabilities to help businesses deliver services and manage customer demands while ensuring compliance with current accounting regulations.

Where companies will see especially enhanced value is when adopting Microsoft Dynamics SL as part of their Office 365 business solution. The interoperability between Microsoft Dynamics SL and Office 365 provides enhanced productivity, mobility and business intelligence functionality: document management and collaboration, Excel-based analysis, and many other features available in the cloud with Office 365.

Being able to access reports (SQL Reporting Services reports, Microsoft Excel charts and Management Reporter reports) from one central location gives you’re the flexibility to work with any of your preferred devices from anywhere.  You can connect to more than 100 predefined views of your financial data via an interactive screen that allows you to sort and select information, filtering and saving of custom views or connecting to a custom SQL Server® view. The Quick Query Web App provides access to information on smartphones, tablets or desktops machines, giving you a truly portable view of your business data wherever you find yourself working.

Your Partner for Year-End Accounting Software Updates

End of year processes and software updates can be challenging for busy corporate accounting departments and small businesses that may not have a dedicated accounting and IT professionals, but need to get their books closed out and their accounting software updated all the same!

Year-End Accounting Software Updates | AccountnetAs a Microsoft Dynamics Gold Certified Partner, Accountnet assists clients of all sizes with what can seem like an overwhelming number of year-end tasks.  For example, if you plan to upgrade to a new version of Dynamics this year, the Financial Reporter (FRx) may no longer be compatible be for some current FRx users.  Since FRx is no longer supported with Microsoft Dynamics, the migration to Management Reporter is an important step in your upgrade plan if you have not migrated already.  Accountnet will help you plan for any update, and help you ensure that your testing process is sound so that end of year processes flow smoothly into 2015.

At Accountnet, we highly recommended the use of checklists for your users to test all necessary Dynamics modules.  We walk you through testing in both test upgrade and live upgrade environments, and once users feel comfortable with the tests we have them sign off for each module.  User acceptance is very important to ensure all your business processes work correctly in the new Microsoft Dynamics.  This includes testing all transaction entry tasks, reports, daily, monthly and yearly routines and processes.

While every implementation of MS Dynamics is different, there are some general recommendations and tips for upgrading you can follow to make things go more smoothly.

  1. Back Up! This should always be your first step before any upgrade. Once the databases are upgraded, make a SQL backup before moving forward.
  2. Manage Database Size. During an upgrade, the database grows to a fairly large size.  Make sure you check the size of each of the company databases to ensure you are comfortable with it based on the space requirements for your environment.
  3. Make sure all third-party products and customizations have been identified during the pre-upgrade planning.  If you need help determining the upgrade steps for third-party products and additional customizations, contact us – we can help.

If you would like to schedule a call or an onsite visit to understand the year end process as it relates to your organization please contact us now. Or register for one of our free events to learn more about Management Reporter and other Excel reporting solutions.

What’s the Value of a Microsoft Value Added Reseller (VAR)?

Many small to medium sized companies already use Microsoft Office products for their day to day business operations (Word, Excel, Outlook) and most of them purchased Microsoft products directly from Microsoft or from a retailer. But when it’s time to consider a Microsoft Enterprise Resource Planning (ERP) system, customers purchase from a world-class network of partners, known as Value Added Resellers or VARS.

Microsoft Value Added ResellerSo what’s the value of purchasing Microsoft Dynamics through a VAR?  The first obvious advantage is the experience they have with the product.  Microsoft has strict standards for its Gold Certified Partners, and Accountnet’s pool of IT experts have the knowledge and expertise with Microsoft Dynamics GP and Microsoft Dynamics SL that you probably won’t find in your own IT department.

Clients benefit from value-adds in all areas of planning, deployment, integration, customization and training required for to get a company up and running with ERP. Accountnet works with clients assessing potential solutions and coming up with a shortlist of components for testing. We can help you conduct gap analyses and guide you through the necessary planning for any business process reengineering that might need to be completed prior to designing the system.

Additionally, VARs may provide ongoing maintenance and support plans and even financing, which can help ease the burden of making a financial investment in a new system.

The costs of rolling out an ERP solution are based on several factors, including the capabilities you choose to deploy and the number and roles of the people who will use the system. VARs like Accountnet understand the various licensing options and can help you determine the best and most cost-effective implementation for your business, and provide you with the service and training you may require on a continuing basis.

Contact us at Accountnet for a free ERP assessment to help plan you plan any ERP deployment for 2015. Assessments are offered on a first come, first serve basis.

What’s an ERP System and Does Your Company Need One?

Enterprise Resource Planing SystemWhen your business grows from a few employees to a dozen or more, it can become time consuming to track and monitor all the details that need to be attended to by each department or individual.  Having an ERP system – that is, an “Enterprise Resource Planning” system — is one way to improve the functioning of your business processes, both daily and long-term. ERP systems are used by companies of all sizes – the larger the enterprise, the greater the potential need.

A good ERP system helps you to view and manage day-to-day operations from a single interface, providing you with better decision-making ability. It can help your business streamline workflows, saving time and effort wasted by employees having to access multiple sources of data for everything they need to complete their daily tasks.

An integrated ERP system allows for automation and interaction among various departments to coordinate respective activities, for example, sales department with marketing department; inventory management with warehouse or suppliers; all departments with accounting.  Not only does this help streamline workflows, but it reduces errors by eliminating the need to aggregate data manually.

Accountnet is a value-added reseller and Gold Certified Partner of Microsoft ERP software: Dynamics GP and Dynamics SL. We help our clients select, install and configure an ERP system that best matches their business’s needs.

Depending on the industry you’re in, ERP can be configured with different modules, for instance, a service-based organization may be heavily dependent on tracking project costs across multiple client accounts; a manufacturing will want integrated production planning, goods movement, purchases and inventory functionality.

If your curious about ERP, you can check out one of Microsoft’s live or recorded webcasts.  Of interest to those who haven’t yet explored how an ERP system can benefit them, we recommend “Evaluating Microsoft Dynamics ERP for Your Small or Mid-Sized Business? Get Answers to the Top 10 Frequently Asked Questions.” This session is targeted to any business that believe it is outgrowing entry-level accounting software, rubber-banding an outdated legacy solution or simply tired of paying annual maintenance fees to a vendor that provides little to no value for your money.

Regardless of industry or where you are in your vendor selection cycle, Accountnet can help you assess your specific business needs and propose a solution that makes sense and will allow for continued growth. Contact us to learn more.
